Saved Views: Put the Work That Matters One Click Away

The purple Ariyel character selects a bookmarked view containing a small, organized set of record cards.

You open the pipeline, choose an owner, select a few stages, and finally see the deals you need. Tomorrow, you build the same filter again.

When a question comes up every day, its answer should be easy to return to. Ariyel's saved views let you name a set of filter conditions and keep it in the sidebar.

The view stays useful as the records change. You return to the same question, with the records that match it now.

Save a question you actually ask

Start with a recurring review. A salesperson might need open deals assigned to them. An administrator might want contacts without an owner. A manager might want overdue tasks assigned to a particular teammate.

Choose the page that contains the records, then open Filter. Add the conditions that describe the work you want to see.

For a salesperson's pipeline, use the owner condition together with the stages your workspace considers open. A single-select field supports is any of, so you can include several stages in one condition.

The name should describe the purpose. “Maya's open deals” tells the next person more than “View 3.” It also makes it easier to decide whether the view still belongs in the sidebar later.

Combine conditions with intent

And means both conditions must match. Or means either can match. Condition groups let you combine those rules when a question needs more structure.

For example, you may want one owner and either of two statuses. Make sure the owner applies to the whole status group. Otherwise, the filter could include records belonging to other people.

Use is empty when the question is about missing information, such as an unassigned contact. Incomplete conditions do not filter anything, so finish the rule and check the result count.

Open a few results before saving. If the records do not fit the question, refine the conditions while the example is still in front of you.

Save it to the sidebar

Contacts, Deals, Tasks, and Fulfillment offer saving once you have a complete, unsaved condition. Open More save options → Save as new view, enter the name, and choose Save view.

The named view appears under Views in the sidebar. Save for everyone is a separate option for storing the object's shared filter.

A saved view stores filter conditions. It does not freeze a list of records. When a deal changes stage or a task no longer meets the conditions, the matching set can change.

Know what the view remembers

Search text and display settings are separate from the saved filter. A lingering search can narrow the results further, and a hidden deal stage can make an otherwise matching deal hard to find.

Use View settings to manage columns, card fields, sorting, or the other display options offered by that page. Do not assume a saved filter packages all those presentation choices together.

If a view looks unexpectedly empty, check its conditions, clear any search, and review the display settings before concluding that a record is missing. The Notes page has its own filter and layout behavior and does not save filters as named views.

Keep the collection useful

A workspace can have 10 named views across all objects. Choose the recurring questions that earn a permanent shortcut, and rename or remove views when the team's needs change.

Deleting a view removes its saved filter, not the underlying records. You can keep the workspace tidy without deleting customer history.

Use the Filters and views documentation to build your first shortcut. For work that needs an owner and a next action, pair your views with Ariyel Tasks.
