CRM for consultants: keep selling while you deliver

The purple Ariyel mascot presents a growth chart and process diagram in a consulting boardroom at sunset.

Ariyel is a CRM for consultants and small consulting firms whose new business comes from conversations: referrals, intros and diagnostic calls. It keeps every relationship and conversation on one record, nurtures "not right now" prospects automatically for months, and starts a consistent engagement kickoff the day a client says yes. That way the pipeline doesn't stop each time you're busy delivering. Ariyel's team sets it up around how you sell and deliver, and trains your associates on it.

The consulting pipeline problem: feast, then famine

Most consultants don't lose deals to competitors. They lose them to silence. The pattern we hear:

  • "When I'm on an engagement, business development stops." Three months later, the engagement ends and the pipeline is empty.
  • "That prospect said 'call me next quarter' and I forgot." Long-term "not now" deals are the biggest source of future revenue, and they live in a notebook.
  • "All my business is referrals, and I don't know which ones." No record of who introduced whom, so referrers never get thanked or asked again.
  • "I'm the only one who can sell." Associates deliver, but the context on every prospect is in the founder's head and inbox.
  • "Every engagement starts differently." The data request, the stakeholder interviews and the kickoff deck get rebuilt from scratch each time.

A consulting pipeline in Ariyel

Ariyel's pipeline is call-based, with stages you rename to match your language. Consulting deals are fewer, larger and slower than agency deals, so the stages after the first call carry most of the weight:

Stage What it means in a consulting practice What Ariyel does here
Intro Call Booked A referral or inbound prospect has a first conversation booked Meeting appears on the record from Google Calendar; a Referral source custom field records who sent them
No Show / Rescheduled The call didn't happen Task to rebook; optional Quo text
Diagnostic Done You've explored the problem; next is a proposal or scoping call Quo call summary on the record; "Ask Ari" summarises the deal in five short blocks from what's recorded
Proposal Out (Hot List) The proposal or statement of work is with the client Follow-up sequence that exits when the deal moves stage
Not Now (Long-Term Nurture) Real need, wrong timing or budget cycle Months-long nurture sequence plus a dated personal check-in task
Engaged (Closed Won) Signed Engagement kickoff template starts automatically
Not a Fit (DQ) / Went Quiet (Dead) / Lost Closed out Stays reportable in the Funnel report

For consulting, the most useful saved view is often "Not Now, lead strength Strong or above, no open task": good prospects with nothing scheduled. Ari sets the lead-strength label automatically on every contact, and admins can edit what each level means for your practice.

Several stakeholders at one client? Custom fields and lookup fields let you link a contact to related records, so the economic buyer, the project sponsor and the person who referred you can sit together.

Example workflow: keep "not now" prospects warm without thinking about it

This is the workflow that fixes feast-or-famine. All triggers and actions shown are available in Ariyel today.

  1. Trigger: Field value changed on a deal: Stage becomes Not Now (Long-Term Nurture).
  2. Action: Exit sequence: remove the contact from the proposal follow-up sequence.
  3. Action: Enroll in sequence: "Quarterly insight" nurture (one useful email every few weeks, sent from your domain in business hours, with an exit rule when the deal changes stage).
  4. Flow: Delay 60 days.
  5. Flow: If the deal is still in Not Now:
  6. Action: Create task for the deal owner: "Personal check-in: ask what's changed since we spoke", due in 2 days.
  7. Action: Create note on the deal recording that the check-in was scheduled, so anyone opening the record sees the history.

A second, smaller workflow covers the moment after a diagnostic call. With Quo connected, the Call summary ready trigger can Create task for the owner: "Send recap and proposal within 48 hours". The momentum from a good call doesn't fade while you're on site with another client.

A consulting engagement kickoff checklist

The kickoff is a fulfillment template in Ariyel: ordered steps with instructions, an owner rule (the deal owner or a named team member) and a due date in days from the start. When a deal moves to Engaged, a workflow starts the template, and the deal shows progress, the next step and anything overdue.

# Step Owner Due (days from start)
1 Countersigned agreement saved; note of scope and fee on the deal Deal owner 0
2 Stakeholder map: sponsor, decision-maker, day-to-day contact added and linked Deal owner 2
3 Data and document request sent to the client Lead consultant 2
4 Kickoff meeting held; success criteria written on the deal Lead consultant 5
5 Stakeholder interviews scheduled Associate 7
6 Diagnostic findings readout Lead consultant 21
7 Mid-engagement check-in with the sponsor Deal owner 45
8 Closing readout and "what's next" conversation (extension or phase 2) Deal owner End of the engagement
9 Ask for a referral and a testimonial Deal owner closing + 7

Steps 8 and 9 matter most for consultants: they're where the next engagement and the next referral come from. See client onboarding software.

Solo consultant or growing firm?

Solo: the main value is memory. Every call summary, email and meeting sits on one record. "Ask Ari" can brief you before a call you haven't thought about in four months, and the nurture workflow keeps prospects warm while you're billing.

Firm with associates: the main value is delegation. Associates follow the kickoff checklist and the courses below, and the founder can see the whole pipeline in saved views without asking anyone for an update. This is where most consultants feel the bottleneck in their business.

Team training to set up for consultants

Courses in Ariyel are ordered lessons with video, notes and files, created by owners and admins and read by the team. For a consulting practice, start with:

  1. Our diagnostic method: how we run discovery, the questions we always ask, and what "qualified" means here.
  2. Writing the proposal: structure, pricing logic, examples of past proposals (as files).
  3. Running the engagement: the kickoff checklist explained, interview guides, readout templates.
  4. Keeping the record clean: how to log calls and notes so the partner can pick up any relationship cold.

See team training software.

FAQ: CRM for consultants

Do I need a CRM if all my work comes from referrals? Referral-driven practices need one most, because the relationships span years. A CRM records who referred whom (a custom field), keeps every conversation on the record, and reminds you to follow up. Without it, the next referral depends on your memory.

How long can Ariyel nurture a prospect? As long as you want. Sequences use waits between steps, and workflows can use Delay and Delay until. A prospect can sit in a long-term stage for a year with automated touches and scheduled personal check-ins.

Can Ariyel prepare me for a call with a prospect I haven't spoken to in months? Yes. "Ask Ari" on a contact or deal writes a five-block summary using only what's on the record: emails, meetings, call summaries and notes. It doesn't guess, and it labels itself "Can be wrong".
