Client onboarding checklist template

This free template takes a new client from signed deal to 30-day check-in in 22 steps across five phases. Every step has a named owner, a due day counted from the start date, and a "done when" line, so anyone on your team can run it. Copy the master version, or start from the agency, consultant or coach version below.

What makes this template different

Most onboarding checklists online are a list of tasks. That's the part teams already know. What breaks onboarding is everything around the tasks: nobody owns the step, nobody knows when it's due, and nobody can tell "done" from "started". This template fixes those three things:

  • An owner on every step. Written as a role (Deal owner, Delivery lead, Operations), so the template works no matter who sold the client.
  • A due day on every step, counted from the start date. Day 0 is the day onboarding starts. A slow step doesn't silently push every later step back: the date stays a commitment, and a missed one is visibly late.
  • A "done when" line. "Kickoff held" is vague. "Kickoff held, and goals, success measures and approvers recorded on the client record" can be checked.
  • A "waiting on client" flag. The most common onboarding state is "we're blocked on them". Marking those steps up front tells you where to chase.
  • Sales stays out of it. Proposals and contracts belong to your sales process. This checklist starts when the client has said yes.

The master template: 22 steps

How to adapt the template in 15 minutes

  1. List what actually happened with your last two clients, from "yes" to the first piece of real work. That's your first draft, not the ideal process.
  2. Delete steps you never do. A 12-step checklist your team runs beats a 30-step one they ignore.
  3. Put an owner on every step. If you can't name one, that's where onboarding is breaking today.
  4. Set due days from Day 0. Work backwards from the date of the first visible win you want the client to see.
  5. Write the "done when" for each step so a new hire could tick it without asking you. If a step needs more than a few lines of instructions, write an SOP and link to it.
  6. Run it on the next client, then ask the people who did the steps what was unclear. Fix the template, not the client's copy.

Common onboarding mistakes this template prevents

  • The handoff lives in someone's head. Step 2 forces the promises made in sales onto paper before delivery starts.
  • Access requests drag on for weeks. Steps 8 and 12 ask once, early, with a list, and then chase on a date.
  • Kickoff ends without decisions. Step 14's "done when" requires goals, success measures and approvers on the record.
  • The first win comes too late. Step 19 gives the client something visible inside three weeks.
  • The template never improves. Step 22 makes one improvement part of every onboarding.

Running this checklist in Ariyel

This template mirrors how Ariyel's client onboarding (Fulfillment) works, so you can paste it straight in:

  • Each step becomes a template step with instructions (your "done when"), an assignee rule (Deal owner, a named team member, or Unassigned) and a due-date offset in days from the start.
  • It starts on the client's deal, either from the deal itself or automatically, with a workflow that runs Start fulfillment when the deal moves to Closed won.
  • "Waiting on client" is a step status. Steps can be To do, Waiting or Done, and the fulfillment list groups every client into Overdue, Due this week, On track and Complete.
  • Longer instructions live in Courses, so a step like "Set up tracking" can point to the lesson that shows how.

Ariyel's team builds your templates with you during implementation. See how Ariyel is implemented and Ariyel pricing.

FAQ

What should a client onboarding checklist include? Five things: a handoff from sales, a welcome with access and intake requests, a kickoff that records goals and approvers, a plan that leads to a first visible win, and a 30-day check-in. Each step needs an owner, a due date and a definition of done.

How long should client onboarding take? It depends on the service. This template runs 30 days from start to check-in, with a first visible win around day 18. A coaching program can settle in faster; a consulting project may run its onboarding into the first milestone. Pick the day you want the client to see results and work backwards.

What's the difference between client onboarding and client intake? Intake is collecting information (steps 6, 8 and 11). Onboarding is the whole process from signed deal to regular delivery, including intake.

Should the contract be part of the onboarding checklist? No. Proposals and contracts belong to the sales process. Onboarding starts once the client has signed; step 4 only confirms payment.

Why count due days from the start instead of from the previous step? So one late step doesn't quietly push back every later date. Fixed dates stay commitments, and a missed one shows up as overdue instead of disappearing.

Can I use this template for free? Yes, for your own business or your clients, with no sign-up.
