CRM for coaching businesses that enroll clients on calls

The purple Ariyel mascot wears a headset and waves at a group coaching call on a laptop.

Ariyel is a CRM for coaching businesses that enroll clients through booked calls, often with setters and closers. Its pipeline is built around the call: booked, no-show, completed, hot, enrolled. Calls, texts and call summaries sit on each lead's record, a missed call triggers a text and a rebook task within minutes, and a consistent client welcome checklist starts when someone enrolls. Ariyel's team sets it up around your offer and sales process and trains your setters, closers and coaches on it.

Who this page is for

This page is for coaching businesses with a sales process: a program or high-ticket offer, booked calls, and at least one person besides the founder who sells or delivers.

What coaching businesses tell us is broken

  • "Our show rate is terrible." People book, then disappear, and nobody reaches out until the next day.
  • "Setters and closers keep dropping the handoff." The closer goes into the call without the setter's notes.
  • "Follow-up after the call is random." "I need to think about it" leads get one email, maybe.
  • "I can't see where we're losing people." Is it no-shows, the call itself, or the follow-up?
  • "New clients get a different welcome depending on who enrolled them." And some get no welcome at all for days.
  • "Every new setter takes a month to ramp." The script and objection handling live in a Google Doc.

A coaching sales pipeline in Ariyel

Ariyel's pipeline was designed around a call-based sale, and a coaching enrollment process maps onto it almost directly:

Stage What it means in a coaching business What Ariyel does here
Booked Call A lead has booked an enrollment or strategy call The meeting shows on the record from Google Calendar; the setter's notes sit on the same record
Call Cancel / No Show They cancelled or didn't show Workflow texts them via Quo and creates a rebook task for the setter (see below)
Call Completed / Follow-Up The call happened; no decision yet The Quo call summary is attached; a follow-up sequence starts
Hot List Verbal interest; waiting on a partner, payment date or final question Daily saved view for the closer, sorted by Ari's lead strength
Long-Term Nurture Not ready now: timing, money, or not yet sure Slower nurture sequence; dated check-in task
Enrolled (Closed Won) Paid and joining the program Client welcome checklist starts automatically
DQ / Dead / Closed Lost Not qualified, unreachable, or said no Out of the active board; still counted in the Funnel report

The Funnel report block shows count and conversion for each stage. In a coaching business, that answers the useful questions: what share of booked calls show up, what share of completed calls enroll, and how many enrollments come out of the Hot List. See sales reporting dashboard.

Example workflow: no-show recovery in minutes, not tomorrow

This is the workflow coaching teams usually want first. It uses Ariyel's workflow editor with the Quo integration for texting; every trigger and action listed exists today.

  1. Trigger: Field value changed on a deal: Stage becomes Call Cancel / No Show.
  2. Action: Send text (Quo): a short, human message, e.g. "Looks like we missed each other. Want to grab another time?" Texts can be up to 1,600 characters and support merge fields, such as the lead's first name.
  3. Action: Create task for the deal owner (the setter): "Call to rebook", due today.
  4. Flow: Delay 1 day.
  5. Flow: If the deal is still in Call Cancel / No Show:
  6. Action: Enroll in sequence: a three-email "rebook" sequence, business days only, with an exit rule when the deal changes stage.

Two smaller workflows make this safe and responsive:

  • Trigger: Text received (Quo) → Create task for the owner: "Reply to text", so replies to the no-show message get answered quickly.
  • Trigger: Opt-out (Quo) → Exit sequence and Update record to mark the contact as opted out, so nobody keeps messaging someone who asked you to stop.

Setters and closers on the same record

Setters and closers stop dropping the handoff when they work from one record. The setter's qualification notes, the booked meeting, every text and call, and the call summaries all sit on the contact and the deal. Before the call, the closer can click Ask Ari for a five-block summary written only from what's on the record. Ari's lead-strength label (Very strong → Very weak) then helps the closer prioritise the Hot List.

A client welcome checklist for coaching programs

In Ariyel the welcome process is a fulfillment template: ordered steps with instructions, an owner rule and a due date counted in days from enrollment. It's copied onto the deal when the client enrolls, so the deal shows the client's progress, the next step and anything overdue. Coaches see their steps on Home under "what needs you today".

# Step Owner Due (days from enrollment)
1 Welcome text and welcome email sent Closer 0
2 Client added to your community or program platform Client success 1
3 Intake questionnaire sent (your form tool) and answers saved on the record Client success 1
4 Coach assigned; first session booked Client success 2
5 Goals and starting point recorded in custom fields Coach 7
6 Day-14 check-in: are they doing the work? Coach 14
7 Day-30 progress review Coach 30
8 Mid-program win captured (testimonial or story) Client success Halfway through the program
9 Renewal or next-program conversation booked Closer 21 days before the program ends

Step 6 is the one coaching businesses most often skip. It's also where early drop-off shows up first. See client onboarding software.

Team training to set up for a coaching business

Courses in Ariyel are ordered lessons with video, notes and files that owners and admins create and the team works through. For coaching businesses, start with:

  1. Setter training: your ideal client, qualification questions, booking script, how to move a deal to Booked Call.
  2. Closer training: the enrollment call structure, common objections and how you answer them, what qualifies for the Hot List.
  3. Client success: the welcome checklist step by step, tone of voice, when to escalate to the founder.
  4. Coach delivery standards: how sessions run, what gets recorded on the client's record, how to spot a client at risk.

New setters can then ramp from the course instead of shadowing the founder for weeks. See team training software and how to train a sales team.

FAQ: CRM for coaches

Can Ariyel show our show rate and close rate? Yes. The Funnel report block shows the count and conversion rate for each pipeline stage, so you can see booked → completed (show rate) and completed → enrolled (close rate) on one canvas.

Does Ariyel text leads automatically? Yes, through the Quo integration. Workflows can send a text, react when a text is received, and react to opt-outs.

Can our setters' notes follow the lead to the closer? Yes. Notes, emails, meetings, calls and call summaries live on the contact and deal, and "Ask Ari" condenses them into a short summary before the call.

How do we stop texting people who asked us to stop? Use the Quo opt-out trigger in a workflow to exit the contact from sequences and mark the record. Sequences also have exit rules for unsubscribes and bounces.
