The best CRM for service businesses in 2026: 8 options compared

There isn't one best CRM for every service business. HubSpot is the best free starting point. GoHighLevel is best if you need funnels, booking and payments in one tool. Pipedrive is the simplest sales pipeline. HoneyBook is best for solo providers who live on proposals and invoices. Ariyel is best if you want the CRM implemented for you, with client onboarding and team training built in. Pick based on your biggest bottleneck: getting leads, closing them, delivering the work, or getting your team to follow the process.

Publisher disclosure: This guide is published by Ariyel, and Ariyel appears in it. We've included the tools we'd honestly point a service business to and used each vendor's own pricing page (checked 7 October 2026). Figures we couldn't confirm on the official page are marked [verify]. Nobody paid to be included.

What a service business needs from a CRM

A service business (an agency, consultancy, coaching practice or professional firm) sells time and expertise, often to the same client more than once. Its CRM has to cover more than a pipeline:

  1. Win the work: contacts, a deal pipeline, and follow-up that happens without someone remembering it.
  2. Deliver the work: a repeatable onboarding and delivery process for each new client.
  3. Run the team: clear ownership, and a way to train people on how things are done.
  4. See the business: pipeline and conversion reporting.
  5. Actually get used: setup and adoption are where most CRM projects fail.

How we evaluated

We scored each tool on fit for service businesses, not on feature count:

  • Sales: pipeline, email sync, sequences, calling.
  • Delivery: client onboarding and project steps after the deal is won.
  • Team: training, permissions, shared views.
  • Setup burden: self-serve, guided, or done for you.
  • Price transparency: whether the price is published, and what's extra.

Sources: vendor pricing and product pages (see Sources), plus Ariyel's own product for Ariyel. We didn't run paid trials of every tool.

The order follows fit for a service team that needs sales, delivery and training in one place. It's not an overall quality ranking, and every tool here is a reasonable choice for someone.

1. Ariyel: best for service businesses that want their CRM implemented

Ariyel is a CRM and operating system for service businesses: agencies, consultants and coaches. It holds the sales pipeline, calls, texts and email, automated follow-up, client onboarding checklists and team training in one place. Ariyel's team implements it in your business and trains your team on it.

  • Sales: CRM with a Kanban pipeline, custom and lookup fields, and shared saved views. Gmail and Google Calendar sync. Email sequences from your own domain. Calling and texting via Quo or Dialpad. Workflow automation.
  • Delivery: client onboarding (fulfillment). A delivery template with steps, owners and due dates is copied onto each won deal, and you can track progress and overdue steps.
  • Team: training courses with ordered lessons (video, notes, files) for your team.
  • Insight: drag-and-drop reports (numbers, charts, stage funnels) and Ari, the AI, for record summaries and lead strength.
  • Setup: invite-only. Implemented by Ariyel's team, with training and coaching. See how Ariyel is implemented.
  • Price: $500, $1,000 or $2,500 per month (three plans), sold with implementation, training and coaching. See Ariyel pricing.

2. HubSpot: best free CRM to start with

HubSpot's free CRM (2 users, 1,000 contacts) includes contact management, deal pipelines, forms, landing pages, email marketing, live chat and a meeting scheduler, and it connects to "over 2,000" apps. (source 3)

  • Price: CRM Starter from $15/seat/month (source 3). Sales Hub Professional is $90/seat/month annual + $1,500 required onboarding. Enterprise is $150/seat/month + $3,500 (source 1).
  • Strengths: breadth, integrations, Gmail and Outlook support (source 4), and a path to enterprise.
  • Weak spots for service businesses: per-seat costs add up at Professional, and you still design and build the system yourself or with a partner.

3. GoHighLevel: best all-in-one for funnels, booking and payments

GoHighLevel bundles CRM and pipelines, websites and funnels, email and SMS, booking calendars, forms, payments and invoicing, courses, communities and reputation management. It can also be white-labeled for agencies. (source 5)

  • Price: Starter $97/month (3 sub-accounts), Unlimited $297, Agency Pro $497, Enterprise custom. Unlimited contacts and users. Usage charges for phone, SMS, email and some AI (source 5).
  • Strengths: you can replace several tools at one flat price, and resell it.
  • Weak spots: a lot to configure yourself, and an agency-first design.

4. Pipedrive: best simple sales pipeline

Pipedrive is a pipeline-first CRM that's quick to learn, with LeadBooster, Projects and Smart Docs included in its Premium and Ultimate plans. (source 7)

  • Price: Lite $14, Growth $39, Premium $59, Ultimate $79 per seat per month, billed annually (source 6). [verify]: the official page blocked automated access, so these figures come from its search snippet.
  • Weak spots for service businesses: client delivery needs the Projects feature (Premium and up) or another tool.

5. Keap: best for automation plus payments with guided setup

Keap combines CRM, a sales pipeline, an appointment scheduler, landing pages and funnels, email and text marketing, invoicing and checkout. It requires an implementation package with strategy, training and done-for-you services. (source 8)

  • Price: "Starting at $299/mo", with a "$2,988/year" option. 2 users included, $39 per extra user. Implementation is priced separately. Annual contracts carry a $299 early termination fee (source 8).
  • Versus Ariyel: both include setup. Keap leads with marketing automation and payments. Ariyel leads with the pipeline, client delivery and team training.

6. HoneyBook: best for solo service providers

HoneyBook runs the client paperwork of a small service business: lead forms, proposals, contracts, invoices, payments, a scheduler and automations, plus a client portal. (source 9)

  • Price: Starter $29, Essentials $49 and Premium $109 per month billed yearly. Card fees start at 2.7% + 10¢ (source 9).
  • Weak spots: not built for a multi-person sales team working a pipeline with calling and sequences.

7. Zoho CRM: best budget option for tinkerers

Zoho CRM has a free edition for 3 users and inexpensive paid editions, with deep customization and the wider Zoho suite. (source 10)

  • Price: Standard $14 and Professional $23 per user per month billed annually (source 10). [verify]: USD figures come from the search snippet, because the page served INR to our crawler.
  • Weak spots: configuration takes time. The setup is on you.

8. Copper: best for Google Workspace teams

Copper sits inside Gmail with a Chrome extension and Gmail, Calendar, Contacts and Drive sync on every plan. (source 11)

  • Price: Basic $23, Professional $59 and Business $99 per seat per month billed annually. Contact limits are 2,500 on Basic and 15,000 on Professional (source 11).
  • Weak spots: no built-in client onboarding or team training. It's self-serve.

FAQ

What is the best CRM for a service business?

It depends on the bottleneck. HubSpot is the best free start, GoHighLevel the best all-in-one for funnels and payments, Pipedrive the simplest pipeline, HoneyBook the best for solo providers, and Ariyel the best if you want the CRM implemented for you with client onboarding and team training built in.

What is the best CRM for a small agency?

Agencies that resell marketing services often choose GoHighLevel for its sub-accounts and white-label options. Agencies whose problem is sales follow-up and client delivery, rather than reselling, should look at Ariyel or HubSpot. See CRM for agencies.

What is the best CRM for consultants and coaches?

Solo consultants and coaches who mainly send proposals and invoices do well with HoneyBook. Consultancies and coaching businesses with a team, a call-based sales process and a defined client onboarding process fit Ariyel. See CRM for consultants and CRM for coaches.

Is there a CRM that's set up for you?

Yes. Keap requires an implementation package with done-for-you services (source 8), and Ariyel is sold with implementation, team training and coaching (how it works). HubSpot requires paid onboarding at Professional and Enterprise, where your team still does much of the build (source 1).

Do I need a CRM with client onboarding built in?

If clients wait after signing, or delivery depends on one person remembering the steps, yes. A delivery template attached to each won deal keeps onboarding consistent. Most CRMs can do this with tasks and workflows. Ariyel has it as a dedicated client onboarding feature.
